Clear rules are what separate a tidy deals group from a chat full of chain messages, stickers and competitors' links. Here you'll find WhatsApp group rules templates for deals groups, plus a welcome message and private warnings for people who break the rules. Copy them, tweak them and paste them today.
The short answer: a good set of rules says what the group posts, when, who can send messages, what's not allowed, how to ask questions and how the links work (including whether they're affiliate links). Put a short version in the group description and the full version in a pinned message.
Why every deals group needs rules
Rules aren't red tape. They protect three things:
- Your members' experience: people who joined for deals don't want "good morning" GIFs and forwarded chains;
- Your work: without rules, another seller drops their own link in your group and takes advantage of the audience you built;
- Your authority as an admin: when you remove someone, you point to a rule that was written down from day one. It feels fair, not personal.
Rules also make the group predictable. When members know how many deals arrive and at what times, the volume doesn't catch them off guard, and they stay.
Where to put your group rules
- 1Group description
The short version, in bullet points. It's what people see before they join and whenever they open the group info.
- 2Pinned message
The full version, posted and pinned to the top of the chat, so anyone scrolling finds it.
- 3Welcome message
A short note that repeats the main rules and points to the pinned message.
- 4Periodic reminder
Every so often, repost the rules, especially after a wave of new members.
Template 1: short rules for the group description
Use this one when the group is deals-only and only admins can send messages.
📌 GROUP RULES
1. We only post {TOPIC} deals here, from {TIME} to {TIME}.
2. Only admins can send messages.
3. Questions about a product? Message {NAME} privately.
4. Prices and stock can change at any time. Check the store before you pay.
5. Some links are affiliate links: I may earn a commission, at no extra cost to you.
6. Please don't share this group in spam places. Inviting friends is welcome!
Template 2: full rules for a group where members can chat
Customer groups for resellers, gaming communities and local neighborhood groups sometimes work better with chat turned on. In that case, the rules need more detail.
📌 {GROUP NAME} RULES
✅ YOU CAN
• Ask about the deals we post
• Share whether you bought something and what you thought
• Invite friends to the group
🚫 YOU CAN'T
• Post links to other groups, stores or your own sales without permission
• Send chain messages, sticker floods, long voice notes or off-topic content
• Start arguments about politics, religion or sports
• Message members privately to sell to them
• Share screenshots showing other members' phone numbers
⚠️ Break a rule and you'll get a private warning. The second time, you'll be removed.
ℹ️ Prices and stock change fast; check the store before you pay.
ℹ️ Some links are affiliate links: I may earn a commission, at no extra cost to you.
Questions: message {ADMIN NAME} privately.
Why each rule exists
Knowing the reason behind each rule helps you decide what to keep for your group, and gives you an answer when someone pushes back:
| Rule | The problem it prevents |
|---|---|
| Only admins send messages | Deals buried under side conversations; members muting the group. |
| No links to other groups or stores | Competitors using your audience; scams with fake links. |
| No messaging members privately to sell | Pushy approaches that make people leave and report the group. |
| Prices and stock can change | Complaints when a deal sells out or the price goes up after you post it. |
| Affiliate link disclosure | Distrust, and trouble with your affiliate program's rules. |
| No politics, religion or sports fights | Arguments that empty the group and pull it off topic. |
| Warning before removal | A sense of unfairness; it gives people who slipped up by accident a chance to fix it. |
Template 3: welcome message
The welcome message is the first thing a new member reads. It should fit on a phone screen without scrolling. Here's how it looks in practice:
• Deals on games, controllers and accessories from 10 AM to 10 PM
• Only admins post
• Questions? Message me privately
• Some links are affiliate links
📌 Full rules in the pinned message. 10:00 AM
👋 Welcome to *{GROUP NAME}*!
• {TOPIC} deals from {TIME} to {TIME}
• Only admins post (keeps the group clean)
• Questions? Message me privately: {NAME}
• Some links are affiliate links
📌 Please read the rules in the pinned message. Happy shopping!
Template 4: private warning for someone who broke a rule
Always correct people in private, and politely. Calling someone out in the group starts an argument, embarrasses them, and everyone loses.
Hi {NAME}! Hope you're well 😊
I saw your message in {GROUP NAME}. In this group, {RULE THAT WAS BROKEN} (rule {N} in the pinned message).
I've removed the message to keep the group organized.
Any questions, just let me know. Thanks!
Template 5: removal message
If it happens again, remove the person and let them know privately, without drama. There's no need to announce the removal to the group.
Hi {NAME}. As stated in the {GROUP NAME} rules, after a second warning we have to remove the member.
You've been removed from the group. If you'd like to come back in the future and follow the rules, just message me here.
Thanks!
The transparency rule: affiliate links and prices
If your group uses affiliate links, transparency stops being optional, for three reasons:
- Programs ask for it. Many affiliate programs require you to disclose that you earn a commission, and some specify the exact wording. Read your program's operating agreement and use the text it asks for;
- Advertising rules ask for it. In many countries, paid or commissioned promotion has to be clearly identified as advertising. Check the advertising disclosure and consumer protection rules where you and your audience live (in the US, for example, the FTC publishes guidance on endorsements);
- Trust depends on it. A member who finds out later that every link paid you a commission feels misled, even if the deal was genuinely good.
In practice: put the disclosure in the group description, in the welcome message and in your deal template, together with the "prices and stock can change" rule. A short label at the end of each deal, like "(affiliate link)", is easy to keep up. Our guide on how to write a deal message that sells shows where it fits.
Extra rules by type of group
Reseller customer groups
These groups are closer-knit, and conversation is usually welcome. Add rules about orders and delivery:
🛍️ How to order: message me privately with the product code or a screenshot
📦 Delivery: {YOUR DELIVERY ARRANGEMENT}
💳 Payment: {ACCEPTED PAYMENT METHODS}
🔁 Returns and exchanges: {YOUR RETURNS POLICY}
Return and cancellation rights for purchases made online or by message vary from country to country. Check the consumer protection rules that apply where you sell, and make sure your returns policy matches them. For setting up a business profile, quick replies and labels, see WhatsApp Business tips to sell more.
Gaming groups
Gaming groups have heated debates ("which console is better?") and lots of account and code trading. It's worth banning account and code sales or trades between members, to prevent scams inside the group, and deciding whether spoilers for new releases are allowed.
🎮 No buying, selling or trading accounts, keys or codes between members
🙈 No spoilers for games released in the last {N} weeks
🤝 Console debates are fine; insults are not
Common mistakes when writing group rules
Ready-made rules and a tidy group are the foundation for selling without headaches. The next step is getting your posting rhythm right and staying on good terms with WhatsApp, which we cover in how to sell in WhatsApp groups without getting banned. Still setting up?
