1. Business profile: your first impression

Before any tool, make your profile look like a business. When someone taps your link in a group and opens the chat, your profile is your shop counter. Fill in whatever the app offers for business profiles, such as a business description, opening hours and website, where available.

  • Say how to buy: "Order from the catalog or message me here".
  • Give your real support hours, so they match your away message.
  • Use a photo that works small: a simple logo or your face, no tiny text.

2. Catalog: your shop window inside WhatsApp

The catalog appears on your business profile and lets customers browse products without you sending ten loose photos in a private chat. According to the Help Center, each item needs a name, at least one image and the country of origin; price and sale price are optional.

    Start with the 10 to 20 items that sell most or get the most questions. A lean, up-to-date catalog sells more than a huge, abandoned one.

A 10-minute daily routine with labels

  1. In the morning, open the Negotiating label and reply to everyone.
  2. Check Awaiting payment and send a friendly reminder to anyone past a day.
  3. In the afternoon, ship everything in To ship / deliver and move it to Customer.
  4. Once a week, look at Reorder and message anyone who's due, as long as they agreed to hear from you.

4. Quick replies: stop typing the same thing

Quick replies are shortcuts for text and media messages you send often. You'll find them under Tools > Quick replies. Think of the five questions you answer most and turn each into a shortcut.

5. Away message: nobody left hanging

The away message is a customizable automatic reply under Tools > Away message, where you choose which customers get it and when. It prevents the worst feeling for someone ready to buy: sending a message and not knowing if anyone will see it.

A good away message has three parts: it says you're not around, says when you'll reply and gives the person something useful to do now (browse the catalog, send their postal code, pick a color).

Greeting message

Besides the away message, look in your business tools for the greeting message, which goes to people who message you for the first time. Since menus change between versions, check the current path in the Help Center. A template that works:

Rules you need to know

When you use Business, you also follow the WhatsApp Business Policy. The key point for sellers: you may only contact people who gave you their number (or username) and opted in, meaning they agreed to receive messages from you. The business is responsible for getting that consent.

In practice: don't buy contact lists, don't send deals to people who've never talked to you, and keep proof that people asked to hear from you.
