Sending a 40-page PDF catalog to your contacts and waiting for orders rarely works. Most people never open it, and the ones who do don't know where to start. Promoting your catalog on WhatsApp is about showing the right product to the right person in the right place. This guide shows you how to use the WhatsApp Business catalog, Status, customer groups and channels together, with a weekly plan and templates you can copy.
This works whether you sell beauty products as an independent rep, run a small online shop, bake cakes from home or resell clothes. The tools are the same; only the products change.
The WhatsApp channels you can use to promote a catalog
Each part of WhatsApp does a different job. The most common mistake is using only one of them (usually a group) for everything. Here's what each one is good at:
| Channel | What it's for | Watch out for |
|---|---|---|
| WhatsApp Business catalog | A permanent shop window on your profile that you can send inside any chat. | Keep it current: remove items you no longer sell. |
| Status | Today's highlights, behind the scenes, a featured product. | Post a few a day; too many and people just tap past. |
| Customer group | Deals and new arrivals for people who asked to receive them, with room for questions. | Up to 1,024 members per group; only people who chose to join. |
| WhatsApp channel | One-to-many broadcast; followers can't see each other. | Notifications start muted, so reach depends on people opening it. |
| One-to-one chat | Answering questions, personal recommendations and closing the order. | This is where the sale happens, so reply fast. |
There are also broadcast lists. Before relying on them, check the WhatsApp Help Center for the current rules on who receives the messages, because they change as the app is updated. If you're unsure which format fits your business, read WhatsApp group vs community vs channel.
How to set up your WhatsApp Business catalog
The catalog appears on your business profile and can be shared in any conversation. It's your permanent storefront and the first thing a customer sees when they tap your name.
- 1Pick your best sellers
Start with 10 to 20 products that sell the most or get asked about the most. A short, up-to-date catalog sells better than a huge, outdated one.
- 2Add each item
In WhatsApp Business, open the catalog from the business tools and add an item. Each one needs a name, at least one image and the country of origin; price and sale price are optional (official help article).
- 3Write names people would search for
Use the name a customer would type ("Body lotion 400 ml", not "Product 17") and a description that says who it's for, how to use it and the size.
- 4Use clean photos
Plain background, natural light, the whole product in frame. If the brand allows it, use its official photo.
- 5Review it every season
When a new collection or promotion starts, update prices, remove what's sold out and add the new arrivals.
Status: a shop window that refreshes every day
Status disappears after 24 hours, and that's an advantage. It builds the habit of checking "what's new today". Ideas that work well for sellers and small shops:
- Product of the day: photo, price and "reply to reserve";
- Behind the scenes: a new delivery arriving, orders being packed;
- Last call: "two days left to order from this collection";
- Honest social proof: a screenshot of a customer's kind words, always with their permission and with their name and number hidden;
- How-to tips: how to apply it, how to style it, how to store it.
🌟 Product of the day: {PRODUCT} for {PRICE}. Reply to this status to reserve yours!
📦 New stock just arrived! Deliveries start tomorrow. Order by {DATE}.
⏰ Only 2 days left to order from this collection. After that, it's the next one!
Customer groups: promotion with conversation
A group is where your promotion gets volume. Three rules turn it into a place customers want to stay in.
1. Split groups by interest
One group for fragrance, one for makeup, one for home. Or, if you sell a bit of everything, one "Deals" group and one "New arrivals" group. People join what they care about and get fewer irrelevant messages. If you end up with many groups, a community can bring up to 100 of them together, but note that, according to the WhatsApp FAQ, WhatsApp Business accounts can't create communities (how to create a community).
2. Only people who want to be there
Share the group's invite link (Group info > Invite via link) instead of adding people without asking. If the link leaks somewhere it shouldn't, you can reset it and the old one stops working. And remember that the WhatsApp Business Policy requires opt-in from the people you message. For more ways to grow without spamming, see how to get members for your WhatsApp group.
3. Agree on the rules as soon as people join
Welcome to {GROUP NAME}! 💖
This is where I share new arrivals, promotions and restocks from {PRODUCT LINE}.
📌 How it works:
• Just a few messages a day, always with photo, price and how to order
• Orders and questions go to my private chat
• No chain messages and no promoting other sellers
• Want to leave? You can leave anytime, no hard feelings

What to send: highlights, not the whole catalog
One message per product, with a photo, name, price and a call to action. That's how a customer decides in seconds. Compare:
You can still attach the PDF for people who like to browse, but never on its own. And describe benefits the way the brand does, without inventing promises.

A weekly plan to promote your catalog
A predictable rhythm makes customers look forward to your messages. Here's an example week to adapt:
- MonWhat's new
Update your Business catalog and post the week's 3 highlights in the group.
- TueProduct line of the week
Focus on one line (say, fragrance) in Status and in that line's group.
- WedPersonal recommendations
Send a tailored suggestion to customers who already buy that line.
- ThuOrder deadline
Remind people of the deadline, featuring the week's most-ordered items.
- FriPacking and deliveries
Post orders being packed in Status; confirm delivery times.
- SatFollow-up
Ask how customers are enjoying their order and note when they'll need more.
- SunRest or review
Look at what sold best and plan next week.
Timing matters too. Check the best times to post deals on WhatsApp and test time slots with your own customers, in their local time.
From "saw it on Status" to a confirmed order
You lose people at every step below. Your job is to remove friction at each one: a good photo and a clear price for people browsing, quick replies for people asking, easy payment for people deciding.
The last step is the most profitable and the most forgotten. It has its own guide: WhatsApp after-sales follow-up messages. Quick replies, labels and the away message are covered in WhatsApp Business tips to sell more.
Checklist before you promote each product
When promotion starts taking over your day
With several groups and dozens of products, posting item by item in each group becomes a second job. At that stage, a sending tool helps: AutoProd, for example, sends each product with photo, price and your link (or "message me to order") to the group for the right product line, on the days and times you choose. Customer service and follow-up stay with you, which is where your personal touch makes the difference.
How to tell what's working
If you don't measure, you keep repeating what doesn't sell. You don't need expensive tools: every week, write down three things in a simple spreadsheet:
- Which products got questions or orders, and through which channel: Status, group or catalog;
- Which day and time the replies came in;
- How many people left a group after each type of message.
After a few weeks, patterns show up: the line that sells most, the best day, the type of message that drives people away. Use them to adjust next week's plan.
Mistakes that make customers mute your group
Wrapping up
Use the Business catalog as your permanent storefront, Status for daily highlights, groups split by interest for reach and one-to-one chats to close. Send highlights instead of the whole catalog, keep a weekly rhythm and look after your customers after the sale. Before you scale up, read how to sell in WhatsApp groups without getting banned.
